Privacy policy
Last updated 19 October 2026
This policy explains how Hexagon Systems Ltd ("we", "us") handles personal data when you use hexagonsystems.co.uk or hexagon.systems, contact us, or ask for a demo. We are the controller of that data.
Who we are
Hexagon Systems Ltd, registered in England and Wales (company number 13423550). Registered office: 71–75 Shelton Street, London, WC2H 9JQ, United Kingdom. Contact for anything in this policy: hello@hexagon.systems.
What we collect
- Demo requests and enquiries. Your name, work email, company, and anything else you choose to give us (phone number, the type of clients you serve, your message), plus the page or campaign link that brought you to the form.
- Emails you send us. Your email address and the contents of your message.
- Technical data. Our hosting provider processes your IP address and basic request details to deliver the site and protect it from abuse.
- Usage statistics. If enabled on hexagon.systems, we use cookieless, aggregate analytics that do not identify you or track you across sites.
Why we use it, and our lawful basis
- To reply to your enquiry and arrange a demo: our legitimate interest in responding to people who contact us, or steps you have asked us to take before entering a contract.
- To provide services to our customers: performance of a contract.
- To keep the sites secure and working: our legitimate interest.
We do not sell personal data, and we do not use it for automated decision-making.
Who we share it with
Only the service providers we need to run the business, under contract and acting on our instructions:
- Cloudflare (website hosting and security)
- Mailjet (delivery of demo-request emails to our team)
- IONOS (our email hosting)
- Plausible Analytics (cookieless usage statistics, where enabled)
Some of these providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or the International Data Transfer Agreement or Addendum to protect it.
How long we keep it
We keep enquiry and demo-request details for up to two years after our last contact with you, unless you become a customer, in which case we keep them for as long as our contract requires and then for up to six years for legal and accounting purposes.
Your rights
You can ask us for a copy of your data, or ask us to correct, delete or restrict it, or object to how we use it. Email hello@hexagon.systems and we will reply within one month. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
We will update this page if our practices change. The date at the top shows when it last changed.
